Hilary Lazarus' Property Management Team is committed to providing close, personal supervision of all properties under its care. Our Property Managers are personally responsible for every aspect of a property's operation twenty four hours a day, seven days a week. We are dedicated to providing expert services to owners. We feel that it is of utmost importance to maintain trust and accountability on both ends of the landlord scale. Our client's wishes and needs come first, carefully tempered with the requirements of the tenancy. Both aspects must be carefully balanced to produce the highest output of the property's investment dollar. We will not think of you as a transaction that will be gone in a few months, but more like a friend and a client for life. We depend on referrals to grow our business. We HAVE TO give you excellent service. You MUST be happy, or there will be no referrals from you, and our business will suffer. So we don't see you as just a transaction, here today and gone tomorrow. We're not superstars, pushing people through some kind of assembly line, but we see ourselves as super servants. With the understanding that individual needs will vary and the terms of particular management agreements will change accordingly, the following outline of services and options is provided:

We pride ourselves in delivering service Accounting. Financial management is essential in protecting the value of your property. Our accounting department is trained and skilled to provide the cash management required to meet the functional and informational needs of each property we manage. Our computerised network system is designed to produce financial accounting reports, property reports and owner records concentrated toward effective budgeting and cost information. We also have a certified public accounting firm on retainer to assist our accounting staff, thus insuring accurate accounting procedures. If you require specialised reports, we are prepared to customise an accounting system to meet your property's requirements. Reports and Funds are sent by the due date, No exceptions, No excuses.

Communication
Constant Communication with Owners - We keep Owners up to date, not in the dark. In addition to monthly reports, we immediately fax, phone or e-mail with important information about your property. Although we are often out of the office due to the nature of our work, all property managers carry mobile phones.

Maintenance
It makes good business sense to handle repairs quickly and match the skill level needed to the job required so it gets done right the first time. We maintain courteous professional relationships with tradespeople and pay them promptly. If a trades person does not meet our quality or ethical standards, they will be dropped from our accepted list. We do not use employees, family of employees, or close friends of employees as tradespeople. We do not accept rebates, free services or compensation from tradespeople in exchange for the use of their services for our client's properties. We check general condition of the property, discuss maintenance items with the tenant, check for unauthorised pets, occupants or alterations, and discuss the tenant's future occupancy plans. Once a year (Usually in the middle of the lease) we will send you some photos of your property to show you how well the tenant has settled in and to make you feel at home with your property.

Periodical Inspections
The Residential Tenancies Act Provides - 4 periodical inspections of the property per annum. We conduct a formal inspection twice a year and send you an updated report.

Annual Income & Expenses Reports
Upon request we provide you with your annual expenses and income report for your tax return.

Conflict Resolution
Our agents can represent you at the Residential Tenancies Tribunal if a dispute arises with the tenant. The Residential Tenancies Tribunal is an independent decision making body which hears and decides applications for orders from tenant and landlords. The Tribunal is quick, inexpensive and relatively informal way of resolving disputes. Emphasis during hearings is placed on getting the parties to settle their differences so that, wherever possible, parties work out their own solutions with minimum cost, fuss and time delays.

Ending The Tenancy
Once our agents have received confirmation that the tenant wishes to vacate the property the agent organises:

  1. To complete the final inspection report and also take pictures of the property for supportive evidence of any damage has been made to the property.

  2. To collect the keys from the tenant.

  3. To check that all rents, bills etc have been paid up to date.

  4. Arrange quotes for repairs for any damage that may have been caused by the tenant. Once the quotes have done the agent will see the tenant and get the money for the repairs or see if the tenant wants the money taken out of the bond. If the tenant refuses to pay, an application to the tribunal will be made and the tribunal will have to make an order for the tenant to pay, or for it to be taken out of the bond.

  5. Check the property is left clean and in good order

  6. To complete the refund of Bond form once everything has been returned to our office and all bills have been finalised. The form is then lodged with the Department of Fair Trading and they will organise the release of the bond money held.

Who protects your Property while it is rented?

How good is the insurance cover on your rental property?
Fortunately to date we have not had any problems with tenants leaving properties early, with tenants maliciously damaging properties or with any public liability claims.

We are asking all owners to be sure that they are fully covered and take out insurance which protects, you the landlord. Liability Cover, Loss of Rent due to accidental damage or loss to your buildings, Malicious Damage or Vandalism, Rent Default and Workers' Compensation are some of the Insurance areas in which you can protect yourself and your investment.
We strongly recommend that you seriously consider this issue.
We accordingly cannot hold ourselves liable for any claims which should have been covered by Insurance.

Home polices may cover accidental damage only and not other areas like undue departure of - tenant, default of payment of rent, prevention of access by tenant, your premises become untenantable following damage, legal liability and legal expenses.

Referral Incentives

We encourage our current renters and owners to talk to their friends, members of their families and to the community at large concerning renting our houses and units. We have a referral program which allows a current resident in one of our houses and units or a current owner to be compensated with a special gift for referring a new renter or a new owner with a property to lease.

We have built a property management company based on the old-fashioned principles of integrity, quality and service. As we move into the years ahead we will focus every effort on expanding these same qualities and on continuing commitment to professional excellence.
